COPY SERVICES WORKING GROUP
WORKING AGREEMENTATTENDANCE
- Members will arrive on time.
- If unable to attend, members notify the chair, and send any pertinent input or documents.
- Members assume responsibility for informing themselves of what occurred at missed meetings.
- Meetings will be held on the third Thursday of the month, for one hour, unless there is agreement among the members to go longer.
- The Chair will send reminders of the next meeting via e-mail, including the agenda; which will also appear in the minutes of the previous meeting.
- Members will serve two year staggered terms, and chair and recorder will serve six-month terms, with the option to reapply for another six months.
- The recorder will archive minutes and see to it that hard copies of the minutes are sent to University archives.
PREPARATION
- Members are prepared for every meeting.
- Members read all agenda related items ahead of time.
- Members bring necessary handouts--these will be mentioned in the agenda.
- Members are ready to lead and participate in discussions of agenda items--this, too, will be in the previous agenda.
- If a member has something to add to the agenda, please notify the chair as much as possible in advance, so that the item may be put on the agenda.
PARTICIPATION
- Copy Services WG provides and encourages equal opportunity for participation, and members assume individual responsibility to participate fully.
- Members act collegially and courteously toward each other, and any guests.
- Members respect everyone's right to speak and be listened to WITHOUT interruption.
- Members are free to politely ask for clarification or restatement.
- Members are free to courteously express their feelings and are sensitive to the feelings of other members.
- Members allow constructive criticism of their ideas or proposals as part of the group process.
- Members are free to suggest a break in the discussion, as needed.
- Members have the obligation to express the reasoning, opinions and ideas of the unit(s) which they represent, AND the right to express their own opinions as well, as long as the Group knows which is which.
CONSENSUS
- Members will make decisions by consensus.
<DEFINITION>: Consensus means that each member has had an opportunity to participate in the development of the decision, and that all members are willing to "live with" the decision. It does not mean that the decision is everyone's first choice, but that all members commit to working toward the implementation of the decision and NOT obstruct its implementation.
OPERATING PROCEDURES
- NO decisions will be made without input from appropriate persons and/or units affected by the decision.
- Members will take a system wide perspective when making decisions.
- Members are encouraged to freely suggest new concepts or ideas.
- Members are expected to report information from the WG meeting to the unit(s) which they represent and bring unit feedback to the WG.
- Draft minutes will be distributed to the members of the WG via the listserv within one week of the previous meeting for corrections. Minutes will be sent to libusers one week later, with any corrections.
At the end of each meeting:
- Members will set a tentative agenda for the next meeting, and decide if any guests need to be invited, or input sought.
- Confirm any decisions made and how to communicate them to everyone.
- Review and confirm any assigned tasks.
This working agreement is subject to periodic review by the members.
