FACILITIES WORKING GROUP -- DISBANDED 9-11-02
Role:
- To address issues related to the physical buildings in which Libraries reside, such as security, access, maintenance, furnishings, and major and minor capital improvements.
Membership to be appointed by LC:
- Director of Libraries
- Facilities Operations Maintenance Specialist
- One representative from Holland and Terrell Libraries (chosen by LC after soliciting volunteers)
- One representative from Owen Library (chosen by LC after soliciting volunteers)
- One representative from Fischer Ag Sciences Library or Architecture Library or Brain Education Library or Animal Health Library to represent those 4 libraries (chosen by LC after soliciting volunteers)
- One representative from Systems (representing all libraries from a Systems standpoint)
The representative members serve 2 year terms. After the first 2 years, members will draw straws to see who remains on the WG for one more year.
Governance:
The working group will select its own chair for an appropriate term of office and will meet regularly or as needed. The group will coordinate its activities with other working groups and library departments, as warranted. Working groups will establish procedures and make policy within the scope of their responsibilities. Working groups are accountable for their decisions and are expected to share decisions with library colleagues using the standard working groups procedure. Any proposals generated by a working group that require funding for implementation must be referred to Library Council for funding approval. Similarly, any proposals with very broad policy implications also need Library Council approval. The chair of the working group is expected to update Library Council on its activities on a regular basis.

- To continually evaluate the needs of the various library facilities with respect to all aspects of physical infrastructure, such as building security and access, furnishings, special ergonomic needs, lighting, HVAC, facilities maintenance, signage, legal requirements related to facilities, etc.
- To evaluate and prioritize requests and issues related to the above areas.
- To make and implement decisions relating to these areas.
- To solicit input from all units regarding physical infrastructure issues.
- To make recommendations to Library Council regarding major and minor capital improvement requests and distribution of the minor capital reserve.
- To develop consistent policies, where possible, in regard to physical infrastructure.
